The Event Coordinator at SNA is a dynamic and integral role responsible for planning, coordinating, and executing a diverse range of events within the school community. This position requires meticulous planning, effective communication, and the ability to create memorable experiences for students, parents, and staff.
Responsibilities:
Event Request Review and Approval:
– Receive, review, and approve Event Requests Forms from teachers and students, seeking final approval from the Head of School.
– Ensure all necessary details and requirements are captured for successful event planning.
Logistical Coordination:
– Collaborate with the Operations Team to arrange venues, equipment, catering, and all necessary resources based on the Event Form from Event Committees.
– Ensure efficient logistics planning to support seamless event execution.
Event Execution Oversight:
– Oversee all aspects of event execution, including setup, guest registration, and program coordination.
– Address any unforeseen issues promptly and effectively to ensure a smooth event flow.
Scheduling Management:
– Create and manage event schedules, ensuring smooth operations from start to finish.
– Coordinate with various teams to synchronize activities and timings.
Marketing and Communication Collaboration:
– Work closely with the Marketing and Communications team to effectively market events and boost attendance.
– Utilize various channels such as social media, email, posters, and phones to create awareness and excitement.
Community Engagement:
– Encourage active participation and engagement among all members of the school community.
– Foster a sense of community through well-planned and inclusive events.
Post-Event Evaluation:
– Conduct post-event evaluations to gather feedback from participants, and parents.
– Assess event success and identify areas for improvement.
Continuous Improvement:
– Utilize feedback and data to continuously improve event planning processes and outcomes.
– Stay informed about event trends and innovative ideas for future planning.
Support for Students’ CAS Projects:
– Review event requests for student-led CAS projects.
– Collaborate with project supervisors to guide students in planning, managing sales, and recording their business activities.
– Supervise students during their CAS projects after schools and weekends (if any).
Regulatory Compliance:
– Ensure all events comply with school regulations and policies.
– Collaborate with relevant departments to address any compliance requirements.
– Prepare and submit monthly event reports to line manager.
– Perform other tasks assigned by the line Manager/ Head of School.
